Responsibilities

Job Summary:

The receptionist will be the first point of contact for the company by welcoming guests and employees. The receptionist will also coordinate front-desk activities, including distributing correspondence and answering phone calls. The receptionist will offer administrative support across the organization.

 

Responsibilities:

  • Greet and welcome guests upon arrival
  • Direct visitors to the appropriate person and office
  • Answer, screen, and forward incoming phone calls
  • Ensure reception area is presentable with all necessary stationery and material
  • Provide basic and accurate information in-person and via phone, or email
  • Receive, sort, and distribute mail and deliveries daily
  • Maintain office security by following safety procedures and controlling access via the reception desk; monitor logbook, pre-arrival questionnaire, and administering visitor and employee badges.
  • Order office supplies and keep inventory of stock
  • Update calendars and schedule meetings
  • Perform other clerical receptionist duties such as filing, photocopying, transcribing, and faxing
  • Sustain credible relationships with suppliers, customers, and co-workers
  • Other duties as assigned

Qualifications

Requirements and Qualifications:

 

To be successful as a Receptionist, the aspirant should have a pleasant and outgoing personality, as this is also a customer service role. The aspirant should also be able to deal with emergencies in a timely and effective manner, while streamlining office operations. Multitasking and stress management skills are essential for this position. This role may require extended hours during peak time, so flexibility is a plus.

 

Ultimately, a Receptionist’s duties and responsibilities are to ensure the front desk welcomes guests positively and executes all administrative tasks to the highest quality standards.

 

  • High school diploma required BS/BA in business administration or relevant field is a plus
  • ​A minimum of five years proven work experience as a Receptionist, Front Office Representative or similar role required
  • Proficiency in Microsoft Office Suite
  • Hands-on experience with office equipment (e.g. fax machines and printers)
  • Professional attitude and appearance
  • Excellent written and verbal communication skills
  • Excellent organizational skills
  • Must have multitasking and time-management skills, with the ability to prioritize required tasks
  • Must possess the ability to be resourceful and proactive when issues arise

Work Environment:

  • This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, and photocopiers/scanners.

 Physical Demands:

  • While performing the duties of this job, the employee is regularly required to sit for long periods of time, talk, and hear. The employee frequently is required to stand, walk, use hands and fingers, handle or feel, and reach with hands and arms.
